Privacy policy
This policy explains what personal information qcalculatrice.com collects, why, with whom it is shared, and what your rights are. It applies to all visitors and clients of the site.
This translation is provided for convenience. In case of discrepancy, the French version prevails.
1. Who is responsible for your information
qcalculatrice.com is operated by 9423-8151 Québec inc., registered in Quebec under enterprise number (NEQ) 1175721779. For any question about your personal information or to exercise the rights described in section 8, write to info@qcalculatrice.com.
9423-8151 Québec inc. has designated a Responsable de la protection des renseignements personnels, within the meaning of Law 25. You can reach them at info@qcalculatrice.com (subject: “Personal information”) or by mail at 5, rue des Chênes, Granby (Québec) J2J 2L8.
2. What we collect
Depending on how you use the site, we may collect:
- The answers from your calculation: shape, dimensions, slope and declared condition of your building, targeted range of materials, timeline. None of these elements alone identifies a person.
- Your address, only if you choose to enter it so the calculator can measure your roof from aerial imagery rather than guessing your dimensions. This step is always optional: an "I prefer to answer myself" button avoids this collection entirely.
- Your contact details (name, email, phone, address of the work) and your declared budget, if you create an account to see your priced estimate and then decide to send your request to contractors.
- Your email, if you sign up for the waiting list, with the role you indicate (homeowner or contractor), the page you signed up from, the date, and the exact wording of the consent displayed at that time.
- Routine technical data (device type, pages visited) needed for the site to work properly and securely.
We never collect social insurance numbers, detailed financial information or health information.
3. Why we collect it
- Calculate a renovation cost estimate specific to your building.
- Automatically measure the characteristics of your building when you provide an address, to reduce the number of questions and improve the accuracy of the figure.
- Let you keep your projects in an account ("your house notebook") and come back to them later.
- Forward your request, only on your explicit decision and with your consent, to up to three active contractors in your area whose licence we have verified.
- Improve the accuracy of our price grids from aggregated, de-identified data (for example the gap between our estimates and the prices quoted by contractors), without ever identifying a client or a contractor.
- Notify you by email when files are available in your area, if you signed up to the waiting list — and nothing else: no newsletter, no offers, until you have expressly asked us for something else.
- Ensure security, prevent fraud and meet our legal obligations.
We do not sell contact lists and only share your contact details with the contractors you choose to send your project file to, with your consent. They are the ones who pay to access it.
4. Your consent
No contact details are sent to a contractor without your explicit consent, given by checking a box whose exact wording is kept with your project. This consent is separate from simply creating an account: creating an account to see your estimate does not amount to agreeing to send your project. You may withdraw this consent at any time by writing to us, as long as your project has not already been sent.
Signing up to the waiting list constitutes express consent, within the meaning of Canada’s anti-spam legislation, to receive notice that files are available in your area. The text of this consent is kept with your sign-up. You can withdraw it at any time through the unsubscribe link in every waiting-list email; withdrawal is immediate.
5. Disclosure to third parties
Your information may be disclosed in the following cases, and only those:
- To the contractors you choose, once your consent is given and your request sent from your account, never before.
- To Google LLC, when you provide an address, in order to measure your building: geocoding, aerial imagery (Solar API: roof, footprint, height), a satellite photo on which you trace an area and, if you consent to the measurement, a street-level photo of the facade (Street View). Google is a company established in the United States: this transfer therefore constitutes a communication of personal information outside Quebec. A summary of the privacy impact assessment carried out for all of these transfers outside Quebec is available on request at info@qcalculatrice.com.
- To Anthropic, PBC, when you consent to the measurement of your building: the street photo of the façade (without your address or name) is read by an image-analysis model that extracts the siding material, the visible windows and doors and the obstacles around the house. Neither the image nor the result is kept by us beyond your project; Anthropic is a company based in the United States. The building outline may also come from OpenStreetMap open data (© OpenStreetMap contributors, ODbL licence), without any personal information being sent to them.
- To Resend, Inc., our email delivery provider, to deliver the site’s emails (sign-in links, confirmations, notices about your file) and, if you signed up to the waiting list, the notice that files are available in your area. Resend receives your email address, the content of the messages addressed to you and, for the waiting list, your role. Resend is a company based in the United States: this constitutes a communication of personal information outside Quebec.
- To Google LLC, if you choose to create your account or sign in with your Google account: Google then sends us your email address and your name, and nothing else.
- To Twilio Inc., our text-message provider (United States), to send you the verification code for your phone number before a file is sent. Only the number and the code are communicated to it.
- To Vercel Inc., which hosts the site (United States) and measures its audience in aggregate, without cookies or personal identifiers: pages viewed, device type, country.
- To Supabase, Inc., which hosts our database (United States): this is where your account, your project files and your contact details are stored, encrypted in transit and at rest, under restricted access. This constitutes a communication of personal information outside Quebec, covered by the same privacy impact assessment.
- To PayPal, only for contractors who buy credits: payment is made at PayPal, which sends us the confirmation and the transaction identifier. We neither see nor keep any card data.
- To our other service providers, only to the extent necessary to operate the site, and bound by confidentiality obligations equivalent to ours.
- If required by law, in particular by court order or at the request of a competent authority.
6. How long we keep it
- An address provided to measure a building is never kept as such in your file: it only keeps the prefix of your postal code (for example "J4K"). A technical cache mechanism temporarily keeps the result of a measurement, indexed by an identifier derived from the address and not by the address itself.
- The full address of the work is only saved if you complete your contact details to send a request. At that point, it is disclosed only to the contractors you choose.
- A building measurement more than two years old is no longer reused automatically: we offer to redo it, to avoid budgeting on an outdated image.
Beyond that, we apply the following retention schedule, run automatically every night. “Anonymized” means the name, e-mail, phone, address and notes are permanently erased; only the technical survey of the building (area, pitch, materials, city) remains, for our price statistics, with no way to trace it back to you.
- Project file never sent (estimate done, “Send” never clicked): deleted after 12 months without activity.
- Project file sent but never opened by a contractor: anonymized 6 months after it expires.
- Project file opened by at least one contractor: anonymized 3 years after the last purchase (the period during which a dispute between you and a contractor can still be brought before a court). The contractor’s purchase record and invoice are kept 7 years, without your contact details, for our tax obligations.
- Client account with no project file: deleted after 24 months without a sign-in, with a warning e-mail 30 days before.
- Waiting list: kept until the launch announcement is sent, then at most 12 months, unless you withdraw — in which case we keep only a fingerprint of your address, so we never write to you again.
- Log of e-mails sent (recipient, subject, delivery status): deleted after 12 months.
- Cache of measurements by address: 7 days. Sign-in links and text-message codes: a few minutes to a few days, then deleted.
You can ask for your account and project files to be deleted at any time, before these periods (section 8).
7. Security
We apply reasonable security measures (encrypted communications, restricted access to files, passwords stored in hashed form, single-use and time-limited sign-in links) to protect your information against unauthorized access, use or disclosure. No system is infallible; in the event of a privacy incident presenting a risk of serious harm, we will inform the persons concerned and the Commission d’accès à l’information du Québec as required by law.
8. Your rights
You have the right to:
- access the personal information we hold about you;
- have it corrected if it is inaccurate, incomplete or outdated;
- withdraw your consent to a future disclosure, subject to legal obligations;
- delete your account and the associated information, yourself from your profile (client portal) or your My Business page (contractor workspace), or by writing to us;
- receive, in a structured, commonly used technological format (for example a JSON or CSV file), the computerized personal information you have provided to us, or ask that it be sent to a third party of your choice (right to portability);
- file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca) if you believe your rights have not been respected — or, if you live elsewhere in Canada, with the Office of the Privacy Commissioner of Canada or your provincial commissioner.
To exercise any of these rights, write to info@qcalculatrice.com.
9. How we handle your requests and complaints
- Write to info@qcalculatrice.com from your account’s e-mail address, or quote the reference of one of your project files: that is how we verify the request really comes from you, without asking for ID.
- We reply in writing within 30 days of receiving the request, as the law requires. A refusal, if any, states its reasons and the available recourse.
- A complaint about how your information was handled is reviewed by the person in charge of the protection of personal information (section 1), who replies to you within the same period.
- We keep a register of confidentiality incidents and a privacy impact assessment for each supplier established outside Quebec; a summary of both is available on request.
10. Cookies
The site only uses cookies strictly necessary for its operation, which do not require consent. No advertising or tracking cookies are used; audience measurement (Vercel) works without cookies or persistent identifiers. Here they all are:
- qc_lang: the language of the last page viewed (French or English). Duration: one year.
- Session cookie (client, contractor or administration): keeps you signed in. Duration: the session; deleted at sign-out.
- Temporary Google sign-in cookies: protect the round trip to Google when you choose “Continue with Google”. Duration: a few minutes.
- Browser memory (sessionStorage): keeps the draft of your calculation if the page reloads. It stays on your device, is never sent to us and is erased when the tab is closed.
11. Changes
This policy may be updated to reflect a change in our practices or in the law. The date at the top of this page indicates the last update.
